Privacy Policy & Consent Form

TWF is committed to protecting your privacy and to ensuring that all personal data provided to us is handled in accordance with the relevant provisions of the Personal Data (Privacy) Ordinance (“PDPO”). TWF takes the issue of data privacy seriously and is providing you with this notice and consent form to describe how we will use your personal information.

Data Collection:

TWF will process information relating to individuals (“personal data”) which may include information in a standard curriculum vitae (such as name, address, telephone number, e-mail address, employment history, degree(s) and other qualifications, languages and other skills). Personal data may also include, without limitation: age, nationality and a record of our contact history with you. The purpose of data collection is to assess your application to be considered for inclusion in our Women to Watch database or to update your current profile and to utilise the Women to Watch database as a tool to connect those on the database with potential director, committee, advisory board and executive opportunities (“board roles”) in Hong Kong [and elsewhere in Asia].

Our records derive from information collected directly from you, publicly available sources, such as LinkedIn and third parties.

Data Usage:

TWF will use personal data collected from you for any one or more of the following purposes:

A) to contact you and process your participation in TWF & 30% Club HK’s Boardroom Series for Women Leaders and other 30% Club and related TWF events, programmes, initiatives, including TWF’s regular newsletters (together, the “Series”);

B) to add or keep you in the TWF Women to Watch database (“WTW database”) and keep the information on the WTW database current;

C) for any matters or activities relating to or in connection with the WTW Database and/or the Series, including marketing of the Series either before, during or after the Series;

D) for any purpose relating to or in connection with compliance with any law or regulation;

E) For TWF and 30% Club related purposes of bringing more women on boards or for sharing with (including by providing direct access to the WTW database) executive search firms, individuals or organisations in Hong Kong (or the Hong Kong Government or international organisations) for purposes of their search, assessment and appointment of directors, committee members, advisory board members or executives;

F) For sharing with executive search firms, our agents and advisors for curating the database and identifying high potential candidates for purposes of search, assessment and appointment of board directors, committees, advisory board members, Women to Watch and executives in Hong Kong and internationally.] and

G) Cooperating with TWF’s associates and partners or other relevant organisations both inside and outside Hong Kong responsible for the development and curation of similar databases designed to facilitate more women in board roles, including the combination or amalgamation of all or part of the WTW database with other similar databases, with a view to expanding exposure of participants and increase their potential board role opportunities.

You also agree that TWF may use images, quotations, photos and videos which feature you and which are generated before, during or after the Series (including sharing such images, quotations, photos and videos with the media) to publicise the Series.

Data Storage & Transfer of Personal Information:

Your personal data will be kept secure and strictly confidential. TWF will not divulge, sell, trade or rent your personal data to external parties for their own purpose. However, TWF may disclose or transfer such personal data, where such disclosure is necessary to satisfy the purposes listed above, or a directly related purpose including without limitation for purposes of conducting search, identification, assessment of suitability and/or appointment of board or executive members, debt collection or payment services, telecommunications, IT and computer services, marketing, communications, distribution or other services. TWF may disclose or transfer such personal data to (a) any third party service provider (including executive search firms) and any other person under a duty of confidentiality to TWF including without limitation, TWF staff and advisers, agents and other organisations which have undertaken to keep such information confidential; or (b) any person or entity to whom TWF is under an obligation to make disclosure under laws or guidelines issued by regulatory or other authorities.

Your Rights:

The provision of your personal data to TWF is on a voluntary basis. You have the right to withdraw your consent at any time or to access and request that we rectify or remove your record from our system(s). When asked to remove a record from our system(s), TWF will retain minimal Personal Information in order to prevent future contact. TWF will comply with any request as required by law.

Terms & Conditions in relation to inclusion of my name and particulars on the Women To Watch Database

I further acknowledge and agree in connection with my application to be included on TWF’s Women to Watch Database:

I am fully responsible for ensuring the accuracy and completeness of the information I provide TWF during my application to be included on the WTW Database and agree I will not hold TWF liable for any loss as a result of errors or omissions in the information I provide;

• TWF has absolute discretion on who is included as a Woman to Watch on the WTW Database; who remains on the WTW Database and which corporate access users will be granted access to review its contents and I shall not hold TWF liable for any loss as a result of my inclusion, non-inclusion or removal from the WTW Database;
• Inclusion of my name and personal information on the WTW Database does not mean TWF is endorsing me for any particular board or board-related role nor that I will be considered for, or offered, any particular board or board-related role;
• TWF does not endorse or recommend any board role or board related role that may be offered by any of the corporate access users who will be provided with access to the WTW Database, and I will obtain my own independent advice and carry out my own due diligence as appropriate in relation to any such role; 
• TWF is not engaged in the services of recruitment or acting as a recruitment agency, and that the creation, maintenance, and curation of the Database, is solely in pursuance of TWF’s mission to empower women and girls and increase the number of women on boards and shall not be deemed as its intention to operate a business of or provide recruitment services to me or any other party.
